Who we are
Evolvix School ERP (the “Service”), including its website and its Android, desktop and mobile apps, is provided by Evolvix Solutions (SMC-Private) Limited (“Evolvix”, “we”). The Service is school management software used by schools, their staff and the parents or guardians of their students.
Our role
Each school decides what information it enters into the Service and why. For that information the school is the data controller and Evolvix processes it on the school’s behalf, only to provide the Service.
If you are a parent or staff member, your school is your first point of contact for questions about your records.
Information in the Service
- School details: school name, logo, address, contact details and subscription/plan records.
- Staff accounts: name, email address, phone number, role and permissions, and a securely hashed password.
- Student records entered by the school: name, admission/registration number, class and section, guardian name and contact details, attendance, examination marks and results, timetable, and fee invoices, payments and receipts.
- Parent sign-in: the student login ID issued by the school and a securely hashed password.
- Technical data: session cookies needed to keep you signed in, and server logs (IP address, browser type, date and time, pages requested) used for security and troubleshooting. We keep an audit trail of important actions inside each school.
The app does not access your contacts, photos, camera, microphone or location. Files (for example a logo or an Excel import) are uploaded only when you choose them.
How information is used
- To run the Service for the school: admissions, attendance, examinations and results, timetable, fees and reports.
- To show parents the information of their own child only.
- To send notifications that the school has switched on (for example email or SMS about fees or attendance).
- To keep the Service secure, prevent misuse, fix problems and provide support.
We do not sell personal information, we do not show advertising, and we do not use school data for advertising or profiling.
Sharing
Information is shared only with service providers that help us run the Service — cloud hosting (Amazon Web Services) and, when a school enables them, email and SMS delivery providers — under confidentiality obligations, or where the law requires it. Each school’s data is kept separate from every other school’s data.
Security
Connections are encrypted with HTTPS. Passwords are stored as one-way hashes. Access inside a school is controlled by roles and permissions, and data of different schools is isolated from each other. Backups are taken regularly. No system is perfectly secure, but we work to protect information against unauthorised access, loss or change.
Retention and deletion
Records are kept for as long as the school uses the Service, so the school can keep its academic and fee history. A school can edit or remove records itself. When a school ends its subscription, it can ask us to export or delete its data. Staff and parents can ask for their account or data to be deleted — see Delete account or data.
Children
The Service holds information about students because schools enter it to manage their education. The Service is meant to be used by school staff and by parents or guardians, not directly by children. Parents see only their own child’s information.
Your choices
You can ask your school, or us, to see, correct or delete your information. We will respond within 30 days. Some records (for example fee receipts) may need to be kept for a period required by law or by the school’s own policy.
Changes to this policy
We may update this policy. The date at the top shows the latest version; important changes will be announced in the Service.
